ServePS Software Solutions, LLC (“ServePS,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy describes how we collect, use, disclose, retain, and protect information when you use our websites, applications, software, communications services, and other products and services.
ServePS products and services include, without limitation:
- ServeSUITE, including its modules, applications, mobile applications, web applications, integrations, and related services;
- TextToDo, a standalone productivity and messaging application;
- MedicDialr, a standalone communications application;
- serveps.com and other websites operated by ServePS; and
- other software, applications, communications services, and products offered by ServePS.
These products and services may collectively be referred to as the “Services.”
Certain ServePS products, enterprise customers, healthcare organizations, or other deployments may be subject to additional privacy terms, customer agreements, Business Associate Agreements, data processing agreements, or other contractual requirements. Where those agreements apply, they supplement this Privacy Policy and may govern the handling of particular information.
Information We Collect
The information we collect depends on the ServePS Service you use, the features you enable, your relationship with ServePS, and how your organization has configured the Service.
Information You Provide
We may collect information you provide directly to us, including:
- name;
- email address;
- telephone number;
- organization, agency, or employer;
- job title, role, or position;
- account credentials;
- profile information;
- support requests;
- communications with ServePS;
- information you enter into ServePS applications;
- preferences and settings;
- task and reminder information;
- contact information;
- communications content;
- information submitted through forms, applications, workflows, or other features of the Services.
The specific information collected by a ServePS product depends on the functionality being used.
Account and Organizational Information
Some ServePS Services are provided through an employer, public safety agency, healthcare organization, business, government entity, or other organization.
In those situations, ServePS may process information at the direction of that organization. The organization may determine:
- which users receive accounts;
- what information is entered into the Service;
- what roles and permissions users receive;
- which ServePS modules and features are enabled;
- how organizational information is used, retained, or exported; and
- when user access is modified or terminated.
Your organization may have its own privacy policies or legal obligations that apply to its use of ServePS.
ServeSUITE Data
ServeSUITE is ServePS’s integrated software platform and may process different categories of information depending on the modules an organization chooses to use.
This may include information relating to:
- personnel;
- employment;
- scheduling;
- payroll administration;
- training and education;
- applicants;
- organizational operations;
- facilities;
- vehicles and equipment;
- inventory;
- vendors;
- financial administration;
- communications;
- incident information;
- patient care or healthcare operations;
- documents and records;
- other information entered or generated through enabled ServeSUITE modules.
ServePS processes this information to provide the functionality requested by the customer organization and its authorized users.
Healthcare and Protected Health Information
Certain ServePS Services may be used by healthcare providers, emergency medical services agencies, or other organizations that handle health information.
When ServePS receives or processes Protected Health Information (“PHI”) on behalf of a covered entity or business associate subject to the Health Insurance Portability and Accountability Act (“HIPAA”), the handling of that information may also be governed by an applicable Business Associate Agreement and other legal requirements.
Customer organizations are responsible for determining whether their use of a ServePS Service involves PHI and for ensuring that appropriate agreements and configurations are in place.
Nothing in this Privacy Policy is intended to replace or modify an applicable Business Associate Agreement.
TextToDo Data
TextToDo is a standalone ServePS product and is not part of the ServeSUITE platform.
Depending on the features you use, TextToDo may process information including:
- account information;
- mobile telephone numbers;
- tasks;
- reminders;
- due dates;
- notification preferences;
- messaging preferences;
- SMS consent status;
- communications initiated or requested by the user;
- information necessary to provide task and reminder functionality.
TextToDo may use SMS or other communications channels when those features are specifically enabled or requested by the user.
MedicDialr Data
MedicDialr is a standalone ServePS communications product.
Depending on the features available and enabled, MedicDialr may process information such as:
- account information;
- telephone numbers;
- contact information;
- communications metadata;
- call information;
- messaging information;
- voicemail information;
- communications preferences;
- information necessary to provide calling, messaging, contact, or related communications functionality.
Some communications services may rely on third-party telecommunications providers or communications infrastructure providers.
Information Collected Automatically
When you use ServePS websites or applications, certain technical information may be collected automatically.
This may include:
- IP address;
- browser type;
- operating system;
- device type;
- application version;
- pages or features accessed;
- login activity;
- timestamps;
- device identifiers;
- diagnostic information;
- crash information;
- security events;
- network information;
- system logs.
We may use this information to operate, secure, troubleshoot, maintain, and improve the Services.
ServePS does not sell personal information for behavioral advertising.
Website Information
When you visit serveps.com, standard web server logs may collect information such as your IP address, browser, user agent, requested pages, and timestamps.
If you contact ServePS by email or telephone, we receive the information you choose to provide.
ServePS may use infrastructure, hosting, analytics, security, or other service providers necessary to operate and protect its websites.
How We Use Information
We may use information to:
- provide the Services;
- create and manage accounts;
- authenticate users;
- provide features requested by users or customer organizations;
- deliver tasks, reminders, alerts, and notifications;
- provide communications services;
- process organizational workflows;
- provide customer support;
- respond to inquiries;
- maintain and improve the Services;
- diagnose technical problems;
- monitor performance;
- protect against fraud, abuse, unauthorized access, and security threats;
- enforce our agreements and policies;
- maintain audit and security records;
- comply with legal and regulatory requirements;
- communicate about Service changes, security matters, or account activity;
- develop and improve ServePS products and features.
We do not use customer information for purposes materially unrelated to providing, operating, securing, supporting, or improving the Services unless permitted by law and disclosed to the affected user or customer.
Text Messaging (SMS/MMS)
ServePS products, including TextToDo, MedicDialr, ServeSUITE, and other ServePS Services, may provide SMS or MMS messaging functionality.
Users receive SMS messages only when messaging is permitted under the applicable Service and appropriate consent or authorization has been obtained.
Messages may include:
- task reminders;
- task notifications;
- scheduling notifications;
- account notifications;
- system notifications;
- operational notifications;
- security or authentication messages;
- communications initiated or requested by the user;
- other Service-related notifications enabled by the user or their organization.
SMS Consent
Where individual consent is required, users must affirmatively opt in before SMS messaging is enabled.
SMS consent is not a condition of purchasing a ServePS product or service.
Where SMS functionality is optional, declining SMS consent does not prevent a user from otherwise using the applicable ServePS Service.
Consent applies to the messaging program, Service, or functionality described to the user at the time consent is obtained.
Message Frequency and Charges
Message frequency varies depending on the Service, features enabled, user activity, requested notifications, and organizational configuration.
Message and data rates may apply according to the user’s wireless carrier and mobile service plan.
Opting Out
Users may reply STOP to opt out of SMS messages.
Where supported, users may reply HELP to receive support contact information and START to resume messaging after previously opting out.

SMS Privacy
Mobile telephone numbers, SMS opt-in information, and SMS consent records are not sold or shared with third parties or affiliates for their own marketing or promotional purposes.
Text messaging originator opt-in data and consent information will not be shared with third parties for marketing or promotional purposes.
We may provide information to telecommunications carriers, messaging aggregators, communications platforms, and other service providers only as reasonably necessary to transmit, deliver, secure, operate, or support the messaging service.
These providers are not permitted by ServePS to use SMS consent information for their own independent marketing purposes.
How We Share Information
ServePS does not sell personal information.
We may disclose information in the following limited circumstances.
Service Providers
We may use third-party service providers to help operate our Services, including providers of:
- cloud hosting;
- data storage;
- telecommunications;
- SMS and voice communications;
- email;
- security;
- authentication;
- monitoring;
- software infrastructure;
- payment processing;
- customer support;
- analytics;
- application distribution.
These providers may access information only as reasonably necessary to perform services for ServePS and are subject to applicable contractual, privacy, and security obligations.
Customer Organizations
If your ServePS account is associated with an employer, agency, business, healthcare organization, government entity, or other customer, authorized administrators of that organization may have access to information associated with your organizational account.
ServePS does not control how an organization independently uses information it obtains through its authorized access to the Services.
Legal Requirements
We may disclose information when we reasonably believe disclosure is necessary to:
- comply with applicable law;
- comply with a subpoena, court order, or other lawful process;
- respond to valid requests from governmental authorities;
- protect the rights, safety, property, or security of ServePS, our users, our customers, or others;
- investigate fraud, abuse, security incidents, or violations of our agreements.
Business Transactions
If ServePS is involved in a merger, acquisition, financing, restructuring, sale of assets, or similar business transaction, information may be transferred as part of that transaction subject to applicable law and appropriate confidentiality protections.
Artificial Intelligence Features
Some ServePS Services may include artificial intelligence or automated features.
When an AI-enabled feature processes information, ServePS will use the information as reasonably necessary to provide that feature, subject to applicable customer agreements, Service configurations, privacy requirements, and legal obligations.
Additional disclosures or controls may be provided for specific AI functionality where appropriate.
Data Security
ServePS uses administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.
Security measures may include, where appropriate:
- encryption;
- access controls;
- authentication;
- role-based permissions;
- logging and monitoring;
- network security controls;
- secure development practices;
- backup and recovery procedures.
No system can guarantee absolute security, and we cannot guarantee that information will never be accessed, disclosed, altered, or destroyed despite reasonable safeguards.
Data Retention
We retain information for as long as reasonably necessary to:
- provide the Services;
- maintain customer and business records;
- meet contractual obligations;
- comply with legal and regulatory requirements;
- resolve disputes;
- maintain security and audit records;
- enforce agreements.
Retention periods may vary depending on the type of information, the applicable Service, customer instructions, contractual requirements, and legal obligations.
Information controlled by a customer organization may be retained or deleted according to that organization’s configuration, contractual terms, or instructions.
Backup copies may remain for a limited period after information is deleted from active systems.
Your Choices and Rights
Depending on where you live and the nature of your relationship with ServePS, you may have rights relating to your personal information.
These may include the right to request:
- access to personal information;
- correction of inaccurate information;
- deletion of information;
- information about how personal information is used;
- restriction of certain processing;
- a copy of certain information;
- withdrawal of consent where processing is based on consent.
Some requests may be subject to legal, contractual, security, or record-retention requirements.
If your information is controlled by an employer, agency, healthcare organization, or other ServePS customer, you may need to submit your request directly to that organization. ServePS may assist the organization with fulfilling appropriate requests.

Communications Preferences
You may unsubscribe from optional email communications using the unsubscribe method provided in the message where available.
You may opt out of SMS communications by replying STOP.
Operational, security, legal, transactional, or account-related communications may still be sent when necessary to provide a Service or comply with legal obligations.
Children’s Privacy
ServePS Services are generally intended for use by businesses, organizations, professionals, and authorized users and are not directed toward children for independent consumer use.
We do not knowingly collect personal information directly from children in violation of applicable law.
A customer’s authorized use of ServePS to maintain information concerning minors, patients, students, dependents, or other individuals is governed by the customer’s relationship with those individuals and any applicable agreements or laws.
Third-Party Services and Links
ServePS Services may contain links to or integrations with third-party websites, applications, or services.
Their privacy practices are governed by their own policies. ServePS is not responsible for the independent privacy practices of third parties.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes to our Services, business practices, technologies, or legal requirements.
When we make changes, we will update the effective date at the top of this Policy.
For material changes, we may provide additional notice where appropriate.
